The Onboarding Process:
After the Case Strategy Session:
After potential clients have had a Case Strategy Session with Attorney Angela Barker, they are added to MyCase, our practice management software, as Leads. Our team ensures that the appropriate retainer is sent to potential clients, along with instructions to carefully read, sign, and pay the retainer fee.
Retainer Process:
Once potential clients sign the retainer agreement and pay the requisite fee, we can begin working on their cases. Preliminarily, this involves preparing the necessary documents tailored to the specific state and type of matter.
Verification and Conversion:
We double-check that the retainers are signed by both the clients and Attorney Angela Barker. If the clients have not yet paid the retainer fee, we send a gentle reminder via text message. Once the payment is received, we convert the leads to clients and create client profiles on MyCase.
Client Engagement:
Once the above is completed, we extend a warm welcome to our new clients. A personalized message is sent, and our paralegal officially begins the Onboarding process with the new clients. We prioritize clear communication channels, ensuring clients feel supported from the outset.
Documentation and Setup:
Our team sets up MyCase client profiles, creates client document folders, sends administrative emails, and establishes communication channels. We ensure seamless coordination among team members and provide clients with essential resources, including a MyCase portal guide and instructional videos.
Client Education and Support:
We understand the importance of empowering our clients with knowledge. Alongside providing necessary documents such as client questionnaires and financial affidavit templates to be filled out, we offer educational materials and personal guidance to navigate the legal process with confidence. Our paralegal also telephones the clients to walk them through any difficulty they may be facing as they get acquainted with our systems and software.
Ongoing Communication:
Clear and transparent communication is key to our client relationships. We establish status update threads in MyCase, invite clients and team members, and encourage clients to communicate exclusively through these designated channels for efficiency and confidentiality.
Continual Improvement:
We believe in continually refining our processes to better serve our clients. Feedback and insights gathered from each client interaction inform our approach, ensuring we consistently provide exceptional service and support.
